Title: Office Administrator

Job Summary:

We are seeking a highly organized and detail-oriented Office Administrator to oversee daily office operations, ensure smooth workflow, and support various administrative tasks. The ideal candidate will be responsible for managing office supplies, coordinating schedules, handling correspondence, and assisting with basic accounting and HR duties.

Key Responsibilities:

  • Oversee daily office operations and ensure a productive work environment.
  • Manage office supplies inventory and place orders as needed.
  • Handle incoming and outgoing correspondence, including emails and phone calls.
  • Schedule and coordinate meetings, appointments, and travel arrangements.
  • Maintain and update office records, files, and databases.
  • Assist with HR tasks such as onboarding new employees and maintaining personnel records.
  • Process invoices, track expenses, and assist with basic bookkeeping tasks.
  • Liaise with vendors, service providers, and building management.
  • Ensure compliance with company policies and office procedures.
  • Support other departments with administrative tasks as needed.

Responsibilities

  • Oversee daily office operations, maintain records, and ensure compliance with company policies and legal requirements.
  • Handle administrative tasks with government entities, banks, customs, and service providers.
  • Process journal entries, manage accounts payable/receivable, track VAT returns, and assist in financial reporting.
  • Manage petty cash, office supplies, outsourced services, and maintain staff leave records.
  • Assist in shipping document preparation and coordinate deliveries with logistics partners.
  • Enter and manage data in CRM/ERP, archive commercial documents, and support proposal preparation.

Must Have

  • Bachelor's degree in Accounting, Finance, Business Administration, or a related field.  
  • Minimum of 3-year work experience in a multi-national business environment.
  • Advanced proficiency in MS Office (Excel, Word, Outlook, PowerPoint).  
  • Experience with ERP and CRM programs.  
  • Fluency in English (both written and spoken).
  • Excellent organizational abilities and attention to detail. 
  • Strong written and verbal communication skills.

  • Strong understanding of accounting principles and financial reporting.  
  • Ability and willingness to learn new systems and processes.
